Programs Associate

We’re looking for an energetic Programs Associate to join our vibrant team at Impact Hub Phnom Penh. This is a unique opportunity to help implement empowering programs and directly support our inspiring community of youth, entrepreneurs, and impact makers. Summary

Working Hours: Flexible working hours, typically 9am – 6pm or 11am – 8pm (with a lunch break).

Location: Impact Hub Phnom Penh Office, with flexible remote working when necessary.

Contract Type: 6-month fixed-term contract*

Travel: Occasional traveling to the field (around 20% of time).

Supervisor: Tithamatak CHHIM, Director of Innovations and Education Programs

*Note: This is a fixed-term, 6-month contract with the potential for renewal. 

 

Your exciting role

As a Program Associate, you’ll support 1-2 projects working with youth and SMEs, implement activities, stay organized, collaborate with partners, and build strong bonds with participants. You will be the main liaison with participants, collaborate with our partners and mentors, and play a crucial role in bringing the program activities to life!

Key Responsibilities

Program Coordination and Community Building

  • Assist program managers in the planning, executing, and delivering the assigned projects.
  • Coordinate with internal teams and external partners during the implementation of these activities.
  • Monitor and evaluate program effectiveness and suggest improvements.
  • Assist with report writing, monitoring, and evaluation of the program’s effectiveness.
  • Assist in facilitating online and in-person events, facilitate ice-breaker activities, etc. (no technical expertise in entrepreneurship required).
  • Writing short reports about activities, successes, and lessons learned.
  • Track and capture success stories and the program’s impact.
  • Maintain organized records of program activities (photos, participant and invitee lists, receipts, training materials, etc.).

Logistics Management and Administration Support:

  • Support program managers with logistical arrangements for the program, including venue selection, space preparation, equipment procurement, material printing and organization, travel and accommodation arrangements for participants.
  • Coordinate with suppliers and vendors to ensure timely delivery of services and materials.
  • Assist program managers in procurement by researching vendors, getting quotations, and processing purchase orders.
  • Communicate with vendors to ensure timely delivery of goods and services, resolve any issues that may arise, and maintain vendor relationships.
  • Ensure high-quality, inclusive hospitality for all our participants.
  • Assist program managers in documenting and organizing purchase orders, vendor quotations, and receipts for processing with the Finance Team.

Communications Support:

  • Work closely with the communications team to create a communication strategy to promote the program.
  • Liaise between the participants, guests, partners, and media partners throughout the program.
  • Manages the participant group chat and responds to inquiries about the program on Impact Hub Phnom Penh’s social media.

Ad-hoc Support:

  • Provide support to other programs within the organization when assigned by the supervisor.
  • Support the team in running research or other ad hoc consultancy projects when needed.
  • Support the team in facilitating events that promote an entrepreneurial mindset.

Requirements

Experience:

  • A bachelor’s degree in business administration, entrepreneurship, international relations, economics, or a related field; or equivalent professional education and training in a relevant discipline. We also encourage those who did not attend formal education to apply!
 
  • Since it is an entry-level position, we are looking for someone with prior experience in project management, whether from volunteering or an internship. Prior experience in event planning and organizing is also a plus.
 

Qualifications, Skills, and Passion:

Must have:

  • Some experience with event logistics (e.g., venue, catering, materials procurement).
  • Some project coordination experience. For example, developing timelines, prioritizing to-do lists, meeting deadlines, and delivering on goals and deliverables (for small projects, initiatives, events, school projects, volunteer, or internship experience is OK!).
  • Able to manage multiple tasks at once with strong attention to detail.
  • Great organizational skills; able to maintain organized documents and information.
  • Proactive attitude: a self-starter who anticipates and addresses needs before they arise.
  • Able to use digital tools and willing to learn new tools (e.g., Google Calendar, Zoom, ChatGPT, Google Forms, etc.).
  • Able to convey information in an organized, concise manner via email, Telegram, and written program reports.
  • High standards! Committed to delivering high-quality activities and continuously learning so we always grow and improve.
 

Nice to have:

  • Comfort with speaking in front of groups.
  • Experience or interest in working with youth and entrepreneurs.
  • Flexibility and quick thinking to handle logistical issues or unexpected changes.
  • Friendly, approachable, and patient; skilled at building positive relationships.
  • Able to work smoothly with other team members and stakeholders.
 
Languages:
  • Good oral and written communication skills in Khmer and English.
