We’re looking for a fantastic Space and Sustainable Operation Officer to manage the sourcing of all our products to be a more sustainable space while managing our space rental services and overseeing the design of a space experience at Impact Hub Phnom Penh.

Your Exciting Missions

30% – Sustainable Procurement Sourcing: 

  • Lead on the sustainable sourcing of office-related products for Impact Hub PP (locally produced in preference from our entrepreneurs’ community in priority, made with recycled materials or natural materials, with limited single-use plastic). Office-related products refer to workshop materials, business cards, cleaning products, decorations, communication materials, catering services, gifts for our program-related events, and any other Impact Hub-related activities. 
  • Set up processes on circular waste management systems or reflect on how to reduce the waste for every product coming in or out of Impact Hub. 
  • Communicate, educate, and encourage the whole team of Impact Hub to follow these practices. 

20% – Space management and party organisation:

  • Lead the organisation and coordination of mini-fun activities for the birthdays of each of the staff of Impact Hub. 
  • Lead the organization of the annual party of the year with our alumni at Impact Hub with the support from the Community Engagement Manager. 
  • Proactively identifying any areas where administration and logistics can be improved, suggesting solutions to the team and implementing these, ensuring the Hub is clean, tidy, organized and is an inspiring place to work.
  • Take the lead on the management of the space, ensuring that the design looks inspiring, functional and procures a Wow effect when people step into our space.
  • Coordinate with the Communication team to design the small details (inspiring quotes in the toilets, boards design at the entrance etc..) that will reflect our team culture, achievements and identity (or do it by yourself if you have the skills)
  • Coordinate with service providers to fix the space when it’s required.
  • Coordinate with our neighbors and guard when event happen to have a great experience for all.

20% – Operation Support:

    • Answer the phone calls from Impact Hub’s main phone number and direct the person to the right team members
    • Answer the Facebook chat and direct the person to the right team members or share the best information after consulting the right person in the team
    • Take care of the staff leave records and assist with the timesheet for programs related
  • Be responsible for smooth operations in the space to ensure it operates efficiently and effectively

 

20% – Space Rental Coordination: 

  • Proactively advertise our space rental services among the NGO community and other youth communities. Update the space rental advertisement leaflets and online materials.
  • Take the lead on responding to and coordinating with prospective clients who wish to rent IHPP’s space, in a professional and friendly manner, including creating quotes and invoices/receipts for space renters.
  • Warmly welcoming and hosting organizations at our space and ensuring the space rental experience is to a high standard. This includes: showing them around the space, opening the space up for them, ensuring the space is ready for rental use, and liaising with catering providers and cleaners during busy periods to ensure the space is clean and tidy with the collaboration of the Communication and Event Coordinator.
  • When an external organization rents the space, be here to welcome them, introduce them to the space, the do’s and don’t, and make them feel welcome. Troubleshoot the problems that might arise with calm and efficiency. Make sure to collect feedback at the end of the renting agreement and ensure they had the best experience with us. 
  • Take the initiative to rearrange the space after a booking to revert it back to its original state and is clean and tidy with the support of the team.

 

5% – Storytelling and knowledge sharing:

  • Communicate about sustainable sourcing tips for office, on our social media channel
  • Create content and knowledge base of sustainable sourcing best practices.

5% : Other

  • Always be friendly to members and encourage a positive atmosphere at the Hub.
  • Any other tasks delegated by the management or support of Impact Hub Phnom Penh.

Work to tight deadlines ensuring accuracy and output quality does not suffer.

Who we are looking for:

Knowledge:

 

 

Skills:

  • 2 years of previous experience in event management through volunteering
  • Analytical skills, highly organized with strong attention to detail and ability to question the logic of information 
  • Friendly and approachable, can work well independently and as part of a team, you should be able to work with minimal supervision
  • Being able to be a cheerful person and a good listener for those who are having bad days
  • High-level English and Khmer language skills, both written and spoken
  • Be able to diagnose problems quickly and have foresight into potential issues

Essential:

    • Passionate about Impact Hub’s vision to create a more just and sustainable Cambodia by inspiring and enabling Cambodian changemakers, entrepreneurs and innovators who want to make the world a better place.
    • Can adopt a professional manner when necessary, a fast learner, a passion for analytical skills, good planning, well-organized
    • Can work quickly in a fast-paced environment, confident working independently and as part of a team. 
    • Cheerful and able to mobilise the team 
    • Able to work (6 to 8 hours per day) from Monday to Friday and sometimes at weekends when there are events (that will be compensated during the week) – (30h contract can be an option for those who are still studying).
